Role Introduction
This position will be supporting both Singapore and Malaysia. To coordinate, administer and ensure compliance of people functions for the local country to ensure professional and efficient Human Resource operations. To provide an approachable and proficient support for employees to assist with their engagement levels. |
Key Responsibilities
People Administration and Compliance
• Adopt standard documented Human Resource processes and apply into the local spanet with support from regional teams as required
• Utilize PeopleCX to accurately record employee information and ensure it is updated at all times
• Ensure that local time keeping, attendance monitoring and payroll processes are conducted in an effective and compliant manner
• Ensure all Human Resource documentation and filing is conducted in a locally compliant and efficient manner
• Ensure all personal data handling and processes are locally compliant and use company best practices
• Conduct local legislative reporting to government and other regulatory bodies in a timely and accurate manner
• Sign and issue relevant employee letters and support employment-related administration for all local team members
• Issue and collect company property as required as well as conduct effective onboarding and off-boarding processes
• Provide support with employee transfers, secondment, visa applications and other administrative processes as required
• With the support of regional people team and managers, participate in regular reviews of Human Resource compliance processes, legislative changes or global process and policy changes to be implemented and provide practical advice and ideas on making these effective locally
• Any other reasonable task as requested
Employee Queries and Support
• Act as the day to day point of contact for Human Resource enquiries both line managers and employees
• Provide advice on Human Resource policies, contractual entitlements and day to day processes
• Escalate complex queries to the Country Manager, People Manager or regional people team for advice and support in a timely manner Employee Communications and Engagement
• Assist with day to day initiatives regarding employee engagement, communication and recognition for example coordinating meetings, training, events and managing the local SharePoint site
• Support the Country Manager with the smooth operations of people communication, engagement and associated activities
• Proactively identify opportunities for local celebrations or events to acknowledge local holidays, achievements etc.
• Coordinate long service awards and celebrations in a timely and engaging manner
• Provide logistical support for recruitment and selection processes including room bookings, printing, candidate greeting and note taking support as required
• Support operational teams in matters of communications and staff briefings with onsite support across all locations in the Outport Reporting
• Produce reports for line managers and the Country Manager regarding Human Resource performance and metrics
• Proactively generate necessary reports to track performance of leave liability, completion of key processes and other items as requested
• Track local budget items and report to the regional head of Head Office as required
E&A
• Emergency and Accident and Crisis Response responsibilities as required
Requirements
Academic Qualifications • A diploma in Human Resource administration is an advantage Knowledge, Skills, Training and Experience • Basic knowledge and experience in Human Resource administration • Effective communication skills • High attention to detail • Effective in managing day to day processes and competing priorities • Collaborative and energetic • Strong internal customer service mindset • Experience in working with a global organisation • Effectively adapts to change |
